Content and Catalogue Management has a vital role to play in the successful implementation of an e-Procurement solution.  Not only does it improve communication and reduce cost, but it brings other business benefits such as improved compliance to sourced products, suppliers and the ordering process.  Used properly, it can also result in improved customer and supplier management and satisfaction. 

This guideline provides insight to those benefits, as well as identifying the key elements of a Content Management implementation plan within an e-Procurement environment.

  • The most successful Catalogue and Content Management initiatives are those that deliver clear benefits to both the buying and supplying organisations.  Buyers and suppliers should work together to build a cohesive business case which delivers benefits to all organisations involved.

  • Suppliers should be encouraged to take ownership of the maintenance of their own data while buyers must ensure that their demands on suppliers are reasonable.

  • Content is the fuel that powers any e-Procurement related transaction.  It is vital that a robust, long-term and operational plan is put in place to ensure that the content is present, consistent and of the expected quality.

  • Technology is the enabler, not the solution.  Content Management and Catalogue solutions can improve the efficiency within an organisation's existing procurement process; process design, change management and communication are all key to success.
